Warehouse And Facility Temperature Monitoring Across Ambient, Chilled And Frozen Space

A compressor fails at eleven on a Saturday night. Nobody is on site. The only alarm is a unit beeping into an empty room. By Monday the pallet is a write off, the customer wants records, and the building management system can show one reading from a sensor near the door. That gap is what warehouse temperature monitoring closes, and it is almost always cheaper than the first consignment it saves.

What Warehouse Temperature Monitoring Singapore Operators Actually Buy

Warehouse temperature monitoring places sensors through a storage space rather than at one convenient point, logs continuously, alarms on breach, and produces a record per zone that can be exported for a specific consignment or a specific date range. For a Singapore distribution operation the point is rarely the regulator. It is the customer contract, the insurer and the write off.

A building management system is not the same thing and it is worth being precise about why. A BMS reads air handling performance for the building's benefit, usually from a small number of return air sensors, and it does not produce a per zone, per hour, tamper evident record tied to a calibrated instrument. Those are different jobs. We frequently install monitoring alongside an existing BMS rather than instead of it.

Asia GMP has been doing this for the life science industry in Singapore since 2009, for global life science logistics providers and for the regional divisions of global pharmaceutical companies.

Ambient, Chilled, Frozen And Ultra Low On One System

The hardest part of a mixed warehouse is not any one environment, it is running all of them on one record. A Singapore 3PL typically holds ambient space to 15 C to 25 C, chillers at 2 C to 8 C, freezers at -20 C and sometimes an ultra low unit at -80 C, each with a different limit, a different recovery profile and a different escalation urgency. One platform, one export, one calibration programme.

  • Ambient warehouse and racked storage held to a documented range

  • Walk in cold rooms and chiller rooms

  • Walk in freezer rooms and blast freezers

  • Ultra low temperature freezers to -80 C

  • Loading bays and staging areas, where most excursions actually start

  • Thermal packaging preparation and preconditioning areas

Loading bays deserve their own sentence. In Singapore's climate the bay is where the cold chain breaks, and it is the zone most often left unmonitored because it is not technically storage.

Alarms Built Around Nobody Being There

Alarm configuration is the whole product for a warehouse. Limits are set per zone against the product requirement and the equipment's observed recovery behaviour, with a delay threshold so a forklift holding a cold room door does not trigger a callout. Escalation moves to a second and third named contact when the first does not acknowledge, by SMS, email and app, and every alert and acknowledgement is recorded.

Set the delay too short and the team mutes the system inside a fortnight. Set it too long and a real failure runs for an hour before anyone hears. We set these during commissioning using the actual door opening pattern of your operation rather than a default, and review them again at the first recalibration.

For a new facility, mapping runs as part of commissioning qualification. For an existing one it is a one off study that usually changes the sensor count in both directions, because the obvious positions are often wrong and the real hot spot is somewhere nobody was measuring.

What Installation Looks Like In A Running Warehouse

Operations do not stop. Installation is scheduled outside your working hours, wireless sensors avoid cable trunking and landlord reinstatement problems in leased units, and a typical mixed warehouse goes in across a weekend. Where you are in leased premises, the system comes with you when you move.

  1. Site survey, zone definition, and the regulatory or contractual basis for each limit

  2. Mapping study where the space has never been qualified

  3. Design, sensor placement and a fixed quotation

  4. Installation and commissioning outside operating hours

  5. Qualification documents, team training, alarm escalation list and handover

Most warehouse installations use wireless temperature monitoring for exactly these reasons, though we install wired systems where a site standard requires it.

Why Singapore Operators Choose Asia GMP

Asia GMP has worked in temperature control for the life science industry in Singapore since 2009. The management team carries more than 30 years in the cold chain industry, and the validation engineers more than 15 years in pharmaceutical operations and GMP warehouse running, including handling warehouse temperature audits from the other side of the table. The company is ISO 9001 certified by SOCOTEC Certification International under UKAS Management Systems 0063.

The operational difference is that the lab is here. Recalibration runs in three working days from our Singapore laboratory, with loan instruments so your record does not break, and nothing is shipped overseas. The engineer who commissioned your gateway answers the phone on a public holiday.

Warehouse monitoring sits inside the wider cold chain management work we do, draws on the same instrument range as our temperature data loggers, and is one of five divisions at Asia GMP. Our Customer Care Officer is on +65 6742 4912.

Frequently Asked Questions

How many sensors does a warehouse need?

It depends on volume, zoning and how much the temperature actually varies, which is what a mapping study establishes. As a rough guide, a single ambient zone of a few hundred square metres might need six to ten points, while a mixed facility with chillers, freezers and a loading bay needs more because each environment is recorded separately. We quote after a survey rather than per square metre.

Is warehouse temperature monitoring required by law in Singapore?

It depends on what you store and who you answer to. Pharmaceutical and medical device operations working under Good Distribution Practice and HSA licensing are expected to demonstrate documented temperature control. Food operations work to HACCP, where temperature is commonly a critical control point. Many operators also have it written into customer contracts, which in practice is the more frequent trigger.

Can you monitor a warehouse that already has a building management system?

Yes, and it is common. A BMS reads air handling performance for the building, usually from a small number of return air points, and does not produce the per zone, tamper evident, calibration backed record an auditor or a customer asks for. The monitoring system runs alongside it rather than replacing it.

What is the difference between temperature monitoring and temperature mapping in a warehouse?

Mapping is a one off study that records temperature across the full volume over a defined period and tells you where the warm and cold extremes sit, producing the evidence that the space is fit for the product. Monitoring is continuous and tells you what is happening now. Mapping decides where the monitoring sensors belong.

Will monitoring work in a leased unit without cabling works?

Yes. Wireless sensors avoid cable trunking entirely, which removes both the installation cost and the landlord reinstatement problem, and the system can be removed and reinstalled when you move. This is the usual choice for leased warehouse space in Singapore.

How quickly will I know if a freezer fails overnight?

As soon as the reading crosses the limit and clears the delay threshold, which is typically set in minutes rather than hours. The alert goes by SMS, email and app, and escalates to a second and third named contact when the first does not acknowledge. The acknowledgement itself is recorded, which is what an investigation will ask for.

Can I export the temperature record for one customer's consignment?

Yes. Records are held per sensor and per zone and can be exported for any date and time range without anyone rebuilding a spreadsheet. That is usually the single most used feature once an operation has customers who ask.

Evidence For The Customer, The Auditor And The Claim

Three different people will ask for your temperature data and they want different cuts of it. A customer wants the record for one consignment over one window. An auditor wants to see that the space was within range across a period, that the sensors were calibrated, and that excursions were investigated. An insurer wants the failure timeline. The system has to produce all three without anybody rebuilding a spreadsheet.

Records carry an audit trail, access control and attributable user accounts, with reporting aligned to FDA 21 CFR Part 11, EU Annex 11, ICH and GxP expectations where your quality system requires it. For food operations the same records support HACCP critical control point monitoring and verification. Sensors are traceable to SI units through national metrology institutes and recalibrated through our own calibration services in Singapore.

Losing a tender because a competitor could show documented monitoring and you could not is a specific, common and entirely avoidable way to find out you needed this.

Mapping First, Then Sensors

Sensor placement in a warehouse is not a judgement call and an assessor will ask how the positions were chosen. A temperature mapping study records temperature across the full volume over a defined period, in summer and winter load conditions where relevant, and identifies the warm and cold extremes. Monitoring sensors then go where the mapping says the risk is, not where the cable reaches.
